About the role
We are looking for a highly organised and detail‑oriented Administrative & Finance Assistant to support our growing Servtech Rwanda Africa Hub in Kigali. You will help keep the office running smoothly by managing day‑to‑day office finances, procurement, administration, supplier coordination and compliance documentation.
Key responsibilities
- Maintain accurate records of office expenses and petty cash, ensuring all transactions are properly supported by receipts and invoices.
- Prepare and monitor monthly office budgets, identify variances and flag potential overspending.
- Process supplier invoices, prepare payment requests and follow up on outstanding payments.
- Track recurring expenses such as rent, utilities, internet, subscriptions and service contracts.
- Support payroll inputs, including attendance, leave, allowances and related documentation.
- Work with the external tax consultant to prepare documentation for RRA, RSSB and other statutory filings.
- Maintain a compliance calendar and follow up on licences, permits, contracts and statutory deadlines.
- Manage procurement, obtain quotations, coordinate purchases, maintain supplier records and monitor office inventory and assets.
- Coordinate daily office operations, facilities, service providers, meetings, visitors, travel arrangements and onboarding logistics.
- Prepare monthly administrative and finance reports and recommend improvements to strengthen controls, reduce costs and improve efficiency.
Required profile
- Bachelor's degree or advanced diploma in Finance or a related field.
- 1–2 years of experience in administration, accounting or office management, ideally involving petty cash, budgeting or basic bookkeeping.
- Working knowledge of Rwandan tax and statutory requirements, including RRA, RSSB and EBM invoicing, or the ability to learn them quickly.
- Strong numerical accuracy, attention to detail and organisational skills.
- High level of integrity and confidentiality when handling financial and sensitive company information.
- Ability to manage multiple priorities and deadlines and work independently with initiative.
- Strong communication and supplier‑management skills.
- Fluency in English and Kinyarwanda.
- Experience in a contact centre, BPO, technology or fast‑growing corporate environment is considered an advantage.
- Previous experience working with an external accountant or tax consultant is an advantage.
