Operations Officer

About the role

The Operations Officer will join the Programme Management & Administration Team to ensure the financial, operational and administrative aspects of the LIFT programme run smoothly. This fixed‑term role supports procurement, logistics, events and finance activities for a UK‑funded education initiative in Rwanda.

Key responsibilities

• Support procurement by initiating local purchases, issuing RFQs, reviewing quotations and conducting cost‑benefit analysis.
• Maintain accurate Project Asset & Inventory registers and manage the Approved Suppliers’ Register.
• Coordinate event logistics, including venue booking, invitations, attendance lists and on‑site administration.
• Assist with finance for workshops and events, handling petty cash and ensuring compliance with Mott MacDonald procedures.
• Facilitate international staff mobilisation, covering visas, flight bookings, security briefings and local accommodation arrangements.
• Provide administrative support to sub‑consultants, manage project phones, internet and meeting‑room bookings.
• Maintain operations records in line with company processes and support ethics, transparency and accountability initiatives.

Required profile

• Proven experience handling logistical challenges and negotiating resource use.
• Demonstrated ability to organise events, manage bookings, invitations and on‑the‑day requirements.
• Excellent written and spoken English communication skills.
• Pro‑active, flexible and able to work under pressure.
• Strong coordination skills and ability to manage multiple activities simultaneously.
• Team‑player experience working within hierarchical programme structures.
