About the role
The Senior Office Administrator is responsible for the day‑to‑day management of the Kigali office, ensuring smooth operations, financial administration, staff support, and a professional working environment. The role provides administrative and coordination support across Operations, Finance, HR, and IT, and serves as the central point of contact for staff, visitors, suppliers, and service providers.
Key responsibilities
- Ensure smooth, efficient, professional running of the Kigali office and act as front‑of‑house receptionist from 9 am‑5 pm, Monday‑Friday.
- Manage premises including maintenance, cleaning, security, utilities and coordinate with contractors.
- Maintain visitor logs, access controls, physical and digital filing systems, and the office contracts register.
- Support health & safety compliance and basic business continuity planning.
- Administer the office budget, track expenditures, prepare monthly spend reports and forecast upcoming costs.
- Prepare and file tax declarations, ensuring timely tax payments in line with local regulations.
- Assist with lease administration, renewals and landlord communications.
Required profile
- Minimum Grade 12 education.
- At least 3 years of experience in an administrative role.
- Driver’s licence and own vehicle.
- Tertiary qualification is an advantage.
Required skills
- Proficiency in Microsoft Office suite (Word, Excel, PowerPoint).
- Intermediate to advanced Excel skills.
- Knowledge of clerical and administrative procedures and systems.
